WCCW 2023 CONFERENCE
WHAT IS YOUR REFUND POLICY?
If you purchase an in-person registration and are later unable to attend, we will convert your registration to a digital access ticket (or you can do it yourself using your registration account portal) and refund you the difference ($299 to $199 = $100 refund). The digital access ticket allows you to participate virtually and access the conference content for a period of several weeks. We love that the hybrid nature of our conference offers this kind of flexibility! Full refunds will be considered for special circumstances on a case-by-case basis.
DO YOU OFFER FINANCIAL ASSISTANCE?
Yes! If your financial situation would prevent you from coming, we have a scholarship fund. You can apply for a scholarship here. We primarily offer 25%, 50%, and 75% scholarships based on your need. Scholarship funds apply toward your admission ticket and do not cover add-ons or the lunch pass. Our scholarship committee will respond to your application, and if you are awarded a partial scholarship, they will provide a code for you to use during registration.
DO YOU OFFER A STUDENT DISCOUNT?
Yes, if you are a full-time student, we offer a student discount of $100 off. Please email firstname.lastname@example.org for the discount code.
DO YOU ACCEPT OFFLINE PAYMENTS?
No, we do not accept offline payments like check or cash. You will need to purchase your ticket(s) using a credit card.
MY PAYMENT INFORMATION HAS CHANGED. HOW DO I UPDATE IT?
If your credit card information changes after you have registered and you wish to add to your order, you will have the opportunity to enter the new card info during checkout in your registration portal. If you are not making a transaction, please email email@example.com and we will call you to get your information over the phone and then make the update for you.
HOW CAN I SIGN UP TO VOLUNTEER FOR WCCW?
WCCW is always looking for volunteers to help with the conference. If you are interested in helping out, you can indicate your willingness and area of interest when you register. The areas we need help include:
- Appointment System Aide
- Bookstore Aide
- Faculty Aide
- Food/Coffee Set-up
- Marketing & Media
- Prayer Team
As the conference approaches, a WCCW team leader will reach out to you regarding volunteering.
DOES WCCW HAVE ANY HEALTH PROTOCOLS?
In order to provide a safe environment for both faculty and attendees, WCCW will follow all state and local health regulations in place at the time of the conference. Attendees must be willing to comply with those regulations.
HOW DO I ACCESS MY REGISTRATION ACCOUNT PORTAL?
Once you have registered, you will have the ability to create an account to manage your order. Please take advantage of this new feature! You will find the link to create an account at the bottom of the confirmation email you receive after registering. You can also access it here. HOW DO I MAKE CHANGES TO MY ORDER?
Your registration account portal (see above) allows you to change some of your registration options. Please make changes through your account on your existing order instead of re-registering and creating a separate order. Once you login, click the Registrations tab in the header bar and then select the 2023 conference. Next, click the green “edit” button in the registrant details section. Make your selections on the following page and remember to click save (blue button on the top right-hand side if your order changes require a payment or refund; green button at the very bottom of the page if your changes don’t affect your total).
HOW DO I FIND WHAT I SIGNED UP FOR?
If you have forgotten what you signed up for at registration, you can view your selections in your registration account portal. Your selections are also listed in the confirmation email you received. If you have lost your confirmation email, you can resend it through your registration account portal.
WHAT DOES THE DIGITAL ACCESS TICKET INCLUDE?
If you registered for a Digital Access ticket to attend the conference virtually, you will have access to pre-recorded videos of all workshops for a period of six weeks following the conference (until December 1, 2023). During the conference dates, you can tune in for a livestream of the general sessions, or you can watch the recordings later. Digital Access also includes an entry into the writing contest, participation in our private conference Facebook group, and the opportunity to sign up for virtual agent/editor appointments ($40). Digital Access does not include the add-on options to participate in a CREW, Round Table, or Coaching/Critique appointment.
DOES MY IN-PERSON REGISTRATION INCLUDE DIGITAL ACCESS?
Yes! If you registered to attend the conference in-person, you will also have access to the workshops and general sessions recordings until December 1, 2023.
HOW DO I ACCESS THE CONFERENCE RECORDINGS?
When you registered, you received a confirmation email that contains a link to Conference Central, the virtual event landing page (look for the gray button). Your email also contains the access code you will need. If you have misplaced your confirmation email, you can login to your registration account and resend the email. The Conference Central will go live on October 19, 2023 and will be open until December 1, 2023.
HOW DO I ACCESS THE PRIVATE CONFERENCE FACEBOOK GROUP?
When you register, you will receive a confirmation email that includes a link to the private conference Facebook group. Submit a request to join.
I DON’T HAVE A FACEBOOK ACCOUNT. AM I MISSING OUT ON CONFERENCE MATERIAL?
No, a Facebook account is not required to participate in the conference. While our private conference Facebook group is a great place to find information, make connections, and ask questions, we don’t use this social media platform exclusively to deliver conference information. You will receive all vital conference information by email, and digital conference material is accessible via our virtual event registration platform, Zoom, and Vimeo.
WHERE CAN I FIND THE CONFERENCE BINDER?
You will find a digital version of the conference binder on the Conference Central virtual event page a week or two before the conference dates. This includes the conference program and workshop handouts. Note that not all workshops have corresponding handouts.
IF I REGISTER FOR AN ADD-ON APPOINTMENT, HOW WILL I KNOW WHEN AND WHERE TO MEET?
If you register for an in-person appointment (agent/editor or coaching/critique), we will email you a few days before the conference with the time and place for your appointment. These appointments take place during workshop sessions. If you select a virtual agent/editor appointment at registration, you will be contacted by email before October 18, 2023 to schedule your appointment. These appointments will be held via Zoom or phone. The appointments will occur no later than December 1, 2023.
HOW DO ROUND TABLES WORK AND WHAT DO I NEED TO PREPARE?
Round Tables are a small-group opportunity to meet with a faculty member. During this interactive small-group time, everyone is encouraged to participate. To prepare for a Round Table, think of a question or two for the faculty member. You can also bring an idea to brainstorm or a problem to troubleshoot. Round tables are all held simultaneously on one afternoon for approximately an hour.
DOES THE LUNCH PASS HAVE DIETARY OPTIONS?
A catered Panera lunch will be offered onsite on October 19-20. The selection will include gluten-free and vegetarian options. If you opt not to purchase a meal pass, you may bring your own sack lunch or go off-campus to nearby restaurants.
